Terms and conditions for The Play Tent Studio in Headingley
1. Welcome
Welcome to The Play Tent Studio Limited.
We are a safe, inclusive, and welcoming space inspired by the Reggio Emilia approach, encouraging children to explore, create, and learn through play. Most of our bookings are made via Eventbrite, and we aim to provide a relaxed, fun environment for families.
We hold a strong image of the child as capable, competent, and worthy of the highest level of respect, and this belief guides how we design our space and support children’s exploration and learning.
We value inclusivity and take steps to ensure our play space reflects diverse representation in our resources. We actively welcome all families and children, regardless of sex, race, gender, ability, religion, or background.
2. Supervision and Responsibility

Children must be supervised at all times by a parent or caregiver.

Parents/caregivers are fully responsible for their child’s behaviour, safety, and wellbeing while on the premises.

Parents/caregivers must ensure that young children do not put small parts or play materials in their mouths, as the studio cannot guarantee that all items are safe for mouthing.

Parents/caregivers are politely requested to take nappies away for disposal.

Parents and caregivers should notify staff immediately if they notice any hazard, spillage, or broken resources.

Our staff facilitate a safe environment but are not responsible for supervising children individually.
3. Health and Illness

Children should not attend the studio if they are unwell, particularly with fever, vomiting, or diarrhoea, or any contagious illness.

This helps to protect the health of all children, families, and staff.

Parents/caregivers should contact the studio if a booking must be cancelled due to illness, and rescheduling or gifting the place to another family may be possible (see Section 7).
4. Safety and Hygiene

The studio is maintained to a high standard of cleanliness, and play and art resources are regularly cleaned and checked for safety.

To keep the space safe and hygienic:

Shoes must be removed before entering play areas.

Children and adults should wear socks or slippers.
-
Hot drinks must be kept away from children at all times.

5. Clothing and Activity Preparation

Children and adults should wear clothes suitable for the activity they are taking part in.

Aprons are available in the art studio, but we use a wide range of art materials that may stain clothing.

Please dress accordingly to allow children and adults to fully enjoy creative activities without worry.
6. Play and Learning

We provide free play, open-ended art and play resources, and activities designed to encourage exploration and creativity.

The environment encourages self-expression, problem-solving, and collaboration, following the Reggio Emilia philosophy.

Children are encouraged to engage at their own pace, and staff support positive interactions.

Our approach reflects our belief in the child as capable, competent, and worthy of respect, fostering confidence, independence, and curiosity.
7. Personal Belongings

Parents/caregivers are responsible for their own and their children’s personal belongings, including pushchairs, bags, and coats.

The studio accepts no responsibility for lost, stolen, or damaged items.
8. Bookings, Attendance, and Cancellations

Most bookings are made via Eventbrite and must be confirmed with payment where required.

If a family cannot attend due to sickness or a change of plans, they should contact us as soon as possible.

We will try to reschedule the session if possible.

If rescheduling is not possible, families may gift their place to another family, but they must notify us so we can update the booking.

If The Play Tent Studio Limited must cancel a session due to seriously adverse weather, staff illness, or other extenuating circumstances, we will notify attendees via social media and email.

In such cases, refunds will be offered.

9. Behaviour

All children and adults are expected to respect others, follow studio rules, and use equipment appropriately.

Bullying, discrimination, or unsafe behaviour will not be tolerated.

Staff may ask families to leave if behaviour compromises safety or wellbeing.
10. Photography and Media
-
Occasionally, photos or videos may be taken for promotional purposes.
-
Parents/caregivers will be informed and may opt out if they do not want their child photographed.
11. Liability
-
The studio strives to provide a safe environment, but parents/caregivers are responsible for supervising their children at all times, including preventing young children from mouthing small parts.

The studio is not liable for accidents, injuries, or loss of personal items except where required by law.
12. Other Policies

Our policies on fire safety, safeguarding, personal data (GDPR), and risk assessments are available on request.
13. Amendments and Updates

These Terms and Conditions may be updated periodically.

Updated versions will be communicated via the website or Eventbrite booking pages.

Birthday Party Terms & Conditions
​
Party Package:
-
Maximum of 10 children.
-
Includes play and art-making activities, which can be tailored to suit the birthday child’s interests and play passions.
-
Duration: 2 hours.
-
Available timings: 10:00 – 12:00 or 14:00 – 16:00 on selected weekend dates only.
-
Price: £280.
Booking & Payment:
-
Deposit: £80, payable to confirm booking.
-
Remaining balance: Due within 48 hours of the party.
Included:
-
Free tea and coffee for adults.
-
Free squash for the children.
-
Relaxed environment for your party.
-
Art media will be provided; please note that some materials may stain clothes, so children should dress appropriately.

Free parking on-site for up to 3 hours.
-
Reusable tableware provided for the party table.
Not Included:
-
Food, cake, and party bags – please bring your own.

Playlist/music can be provided by you if desired.
Cancellations & Refunds:

Cancellations must be made at least 28 days in advance for a full refund of the deposit.

Cancellations made less than 28 days in advance may result in forfeiture of the deposit.
Health & Safety:

Children must be supervised at all times.
-
The studio is not responsible for any personal injury or loss of personal belongings.
-
Please inform us of any allergies or medical conditions before the party.
General:

Party times must be adhered to; late arrivals may result in reduced play time.
-
The studio reserves the right to refuse entry or terminate the party if rules are not followed.
